User Management (Collaborators)

WebhookBeam lets you invite team members or collaborators to receive uptime notifications for your monitors. Collaborators don't need access to your dashboard — they simply receive push and/or email alerts when a monitor they are linked to goes down or recovers.

Overview

  • Invite up to 10 collaborators per account by email.
  • Each collaborator can be linked to specific monitors — they won't receive alerts for monitors they aren't assigned to.
  • Collaborators choose to accept or reject the invitation via their own Invitations page.
  • Notification channels (push and/or email) are configurable per collaborator.
  • Unregistered users receive an invitation email with a Sign Up link and are automatically linked when they register.

How to Invite a Collaborator

  1. Go to Status Monitor → Users in the sidebar.
  2. Click the "Add User" button.
  3. Enter the collaborator's email address.
  4. Configure notification channels:
    • Push Notifications — iOS push alerts via the WebhookBeam app (enabled by default).
    • Email Notifications — Email alerts to the collaborator's address (enabled by default).
  5. Select which monitors this collaborator should receive alerts for. All monitors are selected by default — toggle off any monitors you want to exclude.
  6. Click "Send Invitation".

An invitation email is sent immediately. If the email belongs to a registered WebhookBeam user, they'll see a "View Invitation" button. If the email isn't registered, they'll see a "Sign Up to Accept" button instead.

Invitation Statuses

Status Description
Pending The invitation has been sent and the collaborator has a registered account, but hasn't responded yet.
Pending (Not Registered) The invitation has been sent but the email does not belong to a registered WebhookBeam user. They will be auto-linked when they sign up.
Accepted The collaborator has accepted the invitation and will receive notifications.
Rejected The collaborator has declined the invitation.

Managing Collaborators

From the Users page, you can:

  • View details — Click the settings icon to see the collaborator's info, notification channels, and per-monitor toggles.
  • Edit settings — Toggle push/email notifications on or off. Enable or disable notifications for individual monitors.
  • Remove — Click the trash icon to remove a collaborator. They will immediately stop receiving notifications.

Accepting or Rejecting Invitations

If you've been invited as a collaborator:

  1. Go to Profile → Invitations in the sidebar (or click the link in your invitation email).
  2. You'll see all pending invitations with the owner's name, the monitors you'll be notified about, and the notification channels.
  3. Click "Accept" to start receiving notifications, or "Reject" to decline.
  4. Use the "All" tab to see past invitations you've already responded to.

How Notifications Work for Collaborators

Once a collaborator accepts an invitation:

  • They receive down alerts and recovery alerts for the monitors they're linked to.
  • Notification delivery respects the per-collaborator channel toggles (push and/or email).
  • Collaborators do not have access to the owner's dashboard, monitor settings, or incident management. They only receive alerts.
  • The notification content is identical to what the monitor owner receives.

Auto-Linking Unregistered Users

If you invite an email that isn't registered on WebhookBeam:

  • The invitation is created with a "Pending (Not Registered)" status.
  • An email is sent with a "Sign Up to Accept" button linking to the registration page.
  • When the user registers with that email, they are automatically linked to all pending invitations and can accept them from their Invitations page.
